Job Responsibilities:

Office Assistant:

  • Answer incoming calls and greet visitors
  • Handle customer inquiries
  • Maintain filing systems and keep records organized
  • Prepare reports and documents as requested by management
  • Schedule appointments for staff
  • Order office supplies and maintain inventory
  • Provide general administrative support to the office team
  • Assist with other office tasks as needed


  • Greet visitors warmly in person or on the telephone and direct them to the appropriate person or service.
  • Answer telephone calls, take messages, provide information, transfer calls, or schedule appointments.
  • Maintain appointment schedules for professional staff.
  • Receive and sort mail and deliveries.
  • Provide general administrative support including filing, typing, copying, data entry, etc.
  • Monitor visitor access/badge system; issue visitor badges as needed.
  • Maintain security by following procedures; monitor the logbook, issued visitor badges.
  • Order office supplies as needed; maintain inventory of stock.
  • Create files for new employees or customers; maintain existing files as needed.
  • Perform other duties as assigned.
