Job Overview

KEO International Consultants is seeking an experienced Document Controller to join its team on a secondment basis, supporting a client in Abu Dhabi, UAE. The role will provide document control and administrative support across client projects, ensuring accurate record keeping, document tracking, and efficient information flow between project teams, consultants, and authorities.

Key Responsibilities

  • Receive, register, and log incoming and outgoing project documents.
  • Issue documents to relevant stakeholders and maintain distribution records.
  • Organize and maintain digital and physical document filing systems.
  • Manage document numbering, revisions, and version control.
  • Track document review cycles and follow up on outstanding actions.
  • Prepare and maintain document registers and submission logs.
  • Check documents for basic completeness and formatting compliance.
  • Support authority submissions by compiling required documentation.
  • Maintain confidentiality and ensure secure handling of project records.
  • Assist with audits and document retrieval activities.
  • Follow established document retention and archiving procedures.
  • Coordinate with internal teams regarding document submissions.
  • Support consultants in complying with document control procedures.
  • Escalate document-related issues to the Senior Document Controller when required.

Qualifications & Requirements

  • Bachelor’s degree in Engineering, Business Administration, or a related field.
  • Minimum 5 years of relevant work experience.
  • Native Arabic speaker.
  • Experience in document control within an engineering consultancy environment.
  • Experience supporting civil construction projects is required.
  • Experience on large-scale infrastructure projects is highly preferred.
  • Strong knowledge of document control systems such as Aconex, SharePoint, or similar EDMS platforms.
  • Familiarity with industry standards and document management best practices.
  • Excellent organizational and communication skills.
  • Strong attention to detail and ability to manage large volumes of documentation.
  • Proficiency in Microsoft Office.
  • Candidates must currently be located in the UAE and available for in-person interviews.
